PASSPORT BEST PRACTICES

CHECK YOUR PHONE PLAN

We recommend taking a picture of your passport, saving it to your phone, and email it to yourself.

Once you arrive at the resort, store your passport in the hotel safe until it’s time to depart.

Data roaming in Mexico occurs when you use your mobile company’s service abroad.

Most mobile data plans don’t include free roaming so be sure to check with your service provider.

Your mobile device might have roaming permissions on by default, so you’ll have to go into your phone’s settings menu to deactivate it.

PHONE HELPFUL TIPS

A best practice to help avoid roaming charges is to put your phone in airplane mode when in Mexico. Aside from features such as the camera, only use the phone when you can connect to Wi-Fi. Some phones and apps automatically download data when the phone is on and connected, leading to charges, even if you aren’t using the phone for calls. To make calls and text, we commend downloading WhatsApp.

With WhatsApp, you can send messages, voice messages, photos, videos, and more, for free. Messages and calls are made over Wi-Fi or cellular data so all you need is a simple internet connection. The app is secure as it uses end-to-end encryption by default to protect your messages, photos, and videos from being intercepted or viewed by third parties.

  2. Select your device type (such as iPhone or Android) and click “Download”.

  3. Follow the instructions to install WhatsApp on your phone. You will need to have a mobile phone number to use the service.

GENERAL ATTIRE

WEATHER TIPS

The weather in Tulum during April & May is quite warm and sunny with daily high temperatures averaging around 88°F (31°C). Low temperatures usually fall to a very comfortable 75°F (24°C).

Rainfall at this time of year is moderate while humidity levels tend to be quite high, ranging from 65%-90%, making it very important to stay hydrated during your time there. The sea breeze keeps things cool and it’s usually quite comfortable.

Keep in mind that UV levels are very high in Tulum due to its coastal location. The Mexican sun is no joke, and even if you never burn, you should wear sunscreen. Remember to not only wear it while at the beach, but also apply it for all other outings as well.

Daytime meeting attire is business casual (jeans/polos/slacks/khakis/PGHM gear).

Do not forget your laptop & charger! You will need them for certain sessions during the conference.

MEDICAL/INSURANCE TIPS

  • American insurance is usually not accepted in Mexico; pay upfront and seek reimbursement from your carrier according to their specific protocols.

  • Allied plan: Pay upfront and get reimbursed for out-of-network costs if eligible. Check Benefits Guides on UKG for specifics.

  • If you seek medical attention, we will provide you with the Allied International Claim form upon request.

  • For non-Allied plans, contact the provider for international expense policies.

  • Please make sure to have a payment method ready for emergencies.

  • Consult a doctor about travel risks for existing medical conditions.

  • Pack necessary prescriptions, preferably in a carry-on.
